Quarterly General Meetings

Quarterly general meetings are held roughly every three months to assess the state of the Society, its space and treasure and to establish future goals. They are hosted by the board and announced in advance so as to encourage member participation.

Running a QGM

This page is a work in progress to provide a handy guide outlining the roles, responsibilities, and requirements to help general meetings run quickly and effectively. This is not intended to replace or be a substitute for the Bylaws which are the ultimate authority for how general meetings are to be executed.

2 Weeks Before Scheduled Date

BoD Secretary: Post reminder on Talk in AGM/QGM section stating that proposals that require a special resolution must be posted to Talk 7 days in advance of meeting to be considered.

Members: Submit proposals to Talk for consideration. Read and review proposals posted by others.

1 Week Before Scheduled Date

BoD Secretary: Create talk post with details of QGM. Include link to the minutes of the previous meeting and links to any proposals that are to be included in the Agenda. Create placeholders for links to committee reports

1 Week - 24 Hours Before Meeting

Committees: Create talk post with report

24 Hours Before AGM

BoD Secretary: Amend talk post to include links to Committee reports

Before AGM

Members: Review committee reports and proposals

At The QGM

BoD Secretary: Take meeting minutes or delegate responsibility to another member.

Members: Try to stay on topic.

After The QGM

BoD Secretary / Delegated Minute Taker: Create talk post with minutes Add any ratified policies to Wiki: https://vanhack.ca/doku.php?id=admin:policies
